Multiple Recipients for Email Notification
There are at least 3 different ways to direct form submission notification emails to varying recipients. The method you will use depends on what you are trying to accomplish. Here are some examples of the options available, starting with the most frequently used.
Creating multiple Notification Profiles and matching Rules In this method you create 1 notification profile (email) and 1 rule for each recipient. The correct notification email is sent based on the rule matching a value on the form. This method is good when you have a small number of different recipients, up to around 10. You need to manually create the email and rule for each possible option. The emails can each be completely different from one another.
Using a Notitication LookUp Profile In this method you use an alternate form/table to lookup the recipients. You can return multiple notification recipients from the lookup. The way this works is by creating a lookup rule and requires that you have a table dedicated to holding the recipient info, email being the important field.
A rule is created and is used to lookup the recipients from your selected table. For example, you could return all the recipients from your second table where 'US State' = '[the value selected on the form]. This method works well when distributing leads or you you have a large number of recipients. You can simply add and remove recipients from your lookup table and you do not need to create rules for each one.
Using Lead Distribution This method is used when you want to distribute notifications/leads between a number of recipients. It works in a round robin to distribute leads. You set a 'Lead Pool" and add members to it. Each submission goes to the next member in the group in round robin. When a lead is assigned to a member, a hidden (typically) field on the form is updated to a specific value. In this scenario, a hidden field named "leadRecipientEmail" might be used, and updated to the lead members email when a lead is distributed to him.
Your notification profile, then uses the value from the [leadRecipientEmail] in your recipient field to deliver the lead/email to the correct recipient.
