Edit Page Permissions

Through the logifoms Publishing Wizard you can add the ability to allow users to edit the data they are viewing. You can restrict what fields can be edited and displayed and create rules to define who can edit data and what data they can edit.

Permissions for Edit Pages are defined through the FieldSet Rules and Profiles Page. For any Edit Page you can have multiple field sets that describe which fields will be shown and editable on the form. The Field Set Rules control which Field Set is used. If the Field Set Rules are being rules but there is no rule match, the edit link on the parent page is not shown.

Field Sets and Rules can be used to allow selected users to be able to make changes to data that other users can not. For example, you could create a member database (used to provide
Authenticated Access to your Data) which contains an 'Access Level' field which contains the number 1 to 3. By Defining an Edit Page Rule that only allows Edit Access to logged in Users with an Access Level of 1, you can effectively control who can edit Data.

Another example, is when you want certain records to be edited based on the individual record's data. For example, you could create a rule that says "Any records where status does not equal locked" can be edited. This would result in the edit link only being visible for records where the status was not locked.

Creating Multiple Field Sets and Rules
When you first create an edit page, you are asked if Everyone can edit data or if you want to create Rules about who can edit data. If you select that you want to create rules, you will be asked to create a rule. Alternatively, after the Edit Page has been created, you can select "Edit Page Field Sets & Rules" to add add and edit rules and field set profiles.

Creating a Field Set Rule
When you create a field SetRule, you are creating a rule that says "if this criteria matches", use FieldSet XYZ. If there is no match, and no other rules, then no link to the edit page is displayed. Creating a rule:

  1. Enter a name for the rule. This can be anything that helps you identify the rule.
  2. Select the FieldSet to use when the rule Matches
  3. Build the filter using the form provided. The Field values being used are the fields from the current record. For each record being outputted in your published page, this rule is evaluated and the link to the Edit Page is set based on the result of this rule evaluation.

  4. Click Save Changes to Save the Rule.

When creating Field Set Rules, the criteria field will be populated with a drop down list of possible field Values. You can change this to a standard text field so you can enter text by pressing the code icon to the right of the filter row.

Creating Rules Based on the Currently Authenticated User
As explained above, Field Set Rules can be based on the currently logged in user, when working with a Profile Secured by a Member Database. If your profile is Secured, a little red icon (shown below) will appear to the right of each filter row. Pressing this icon, changes the criteria field to a list of [CURRENTUSER.] field values. These are the values of the currently logged in user. Use these values to create rules based on the logged in users information.

Field Set Profiles and Rules
Once you have added a rule, you will be returned to the FieldSet Profile & Rules Screen. From here you can add/edit and delete FieldSet Rules and Profiles. Remember, anytime you have more than one field set you need to have rules to determine which field set to use. Or if you only want some records to be editable, you will need a rule to determine which records will gain access to the field set profile.

If you use any of the CURRENTUSER. wildcards in your Rules, you must log out and log back in of the published page before any of those rules will work correctly.
